Job Description

Are you a natural organiser with a passion for delivering meaningful, long‑term change? We’re looking for a proactive Project Coordinator to play a vital role in the smooth running of our multi‑year, high‑value resilience programmes.
Working closely with the Grant Programme Manager and our dynamic Project Management Office (PMO) team, you’ll be at the heart of ensuring our projects run efficiently, effectively, and in line with strategic objectives.

You’ll support day‑to‑day coordination, maintain accurate budget and financial tracking, manage essential project documentation, and help ensure compliance with funder reporting requirements. Your work will directly contribute to delivering impactful outcomes.

How you'll contribute

  • Day-to-day management of the project workplan, including scope, objectives, timelines, and resource requirements in partnership with resource managers and subject-matter experts. 
  • Day-to-day management of the budget including forecasting, tracking, adjusting in collaboration with Finance and the Grant Programme Manager. 
  • Support stakeholder information management, including managing stakeholder mapping and spearheading communication with key stakeholders. 
  • Manage comprehensive project documentation, including plans, reports, meeting notes, ensuring proper storage, version control, timely sharing, and clear process flows  
  • Supporting internal coordination and governance workflows, including team coordination, meeting scheduling and minuting of meetings.  
  • Identify, monitor, and escalate budget and project-related risks and issues to the Grant Programme Manager in a timely and appropriate manner. 
  • Maintain and update the Monitoring, Evaluation and Learning (MEL) framework and associated tools, including monitoring data collection systems, managing log frame updates and ensuring alignment of the workplan to output indicators.  
  • Capture learning from implementation and external engagement, identifying tools and approaches that drive the greatest uptake and coordination, and synthesising these insights to inform and improve project design and delivery. 
  • Coordinate with Communications and Delivery teams to gather reach and impact data. 
  • Support the Grant Programme Manager on project governance and oversight, including narrative and financial reporting to the project committee and funders. 
  • Ensure compliance with internal policies, procedures, and funder requirements throughout the project lifecycle. 
  • Any other duties as required to fulfil the requirements of the role. 

You should apply if you can demonstrate...

  • Experience coordinating complex, large-scale, multi-partner and multi-year projects.  
  • Strong understanding of budgeting, financial tracking, and funder reporting.  
  • Strong working knowledge of Microsoft Excel.  
  • Proven track record of project coordination and budget management, including staff costs and direct expenses.  Demonstrable understanding of risk management processes. 
  • Solid organisational, multitasking, and time-management skills.  
  • Excellent communication skills (written and verbal).  
  • Ability to effectively engage and influence stakeholders at all levels.  
  • Strong critical, analytical, and problem-solving abilities.  Keen attention to detail and ability to prioritise.  
  • Ability to work independently and manage own workload.  
Desirable 
  • PMO, PRINCE2 or equivalent certification.  
  • Experience using project management tools and reporting tools, including GANTT charts, RACIs charts, RAID logs etc.  
  • Experience in climate-related or resilience-focused projects.  
  • Experience using Monitoring, Evaluation and Learning (MEL) tools and frameworks, including log frames and MEL plans
